How WMRR collects, uses, protects and manages personal information.

1. Our commitment
This policy explains how the Waste Management and Resource Recovery Association of Australia (WMRR) collects, holds, uses, discloses and protects personal information. It also explains how you may access or correct your information or make a privacy complaint.
WMRR handles personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), the Notifiable Data Breaches scheme, the Spam Act 2003 (Cth), and other applicable Australian privacy laws.
2. Who we are
WMRR is Australia’s national peak body representing the waste and resource recovery sector. Our activities include:
- membership services
- conferences, events, training and professional development
- industry advocacy, policy and standards development
- government and stakeholder engagement
- Working Groups, committees and governance
- publications and member communications
3. Personal information we collect
The information we collect depends on how you interact with us. It may include:
- Identity and contact information: name, employer, job title, organisation, professional qualifications, membership number, email address, postal or business address, and telephone number.
- Membership information: membership status, Branch and Division involvement, Working Group or committee participation, and related records.
- Event information: registrations, attendance, dietary or accessibility requirements, emergency contacts, speaker information and award nominations.
- Financial information: billing details, invoices and payment history. WMRR does not store full payment-card details; payments are processed by secure third-party providers.
- Website information: IP address, browser and device information, pages viewed, time on site, referral source and cookie data.
- Communications: information provided through emails, website enquiries, surveys, consultation submissions, telephone calls and social media interactions.
4. Sensitive information
WMRR generally does not collect sensitive information. Where reasonably necessary, we may collect limited information such as dietary requirements, accessibility requirements or emergency-contact details.
We collect sensitive information only with consent or where authorised or required by law, and use it only for the purpose for which it was collected or as otherwise permitted by law.
5. How we collect information
We usually collect personal information directly from you when you:
- join or renew your WMRR membership
- register for or attend an event, conference or training program
- subscribe to communications
- contact WMRR or respond to a survey
- participate in a consultation, committee or Working Group
- submit an award nomination or apply for employment
We may also collect information from your employer or authorised representative, publicly available sources, service providers, or government agencies where appropriate.
6. Why we collect and use information
WMRR collects and uses personal information where reasonably necessary to:
- assess and administer memberships
- provide member services and benefits
- manage events, conferences, education and training
- issue invoices, process payments and maintain financial records
- communicate industry news, policy updates and WMRR activities
- undertake advocacy, consultation and stakeholder engagement
- manage committees, Working Groups and governance
- respond to enquiries, improve services and meet legal obligations
7. Marketing communications
WMRR may send newsletters, event announcements, policy updates, publications, member communications and promotional material where permitted by law.
You may unsubscribe from marketing communications at any time by using the unsubscribe link or contacting WMRR. Essential service and membership communications may continue where necessary.
8. Disclosure of personal information
WMRR may disclose personal information where reasonably necessary to employees, Board members, committee convenors, event venues and organisers, payment providers, professional advisers, insurers, IT and cloud providers, contractors, government agencies and regulators.
We require service providers to handle information appropriately. WMRR does not sell personal information.
9. Overseas disclosure
Some service providers may store or process personal information outside Australia. Where this occurs, WMRR will take reasonable steps required by law to ensure the information is handled appropriately.
10. Website, cookies and analytics
Our website may use cookies and analytics services to improve performance, remember preferences, understand website traffic and improve user experience.
Analytics services may collect statistical information such as pages visited, time spent on the site, referring websites, device and browser information. You may manage or disable cookies through your browser settings, although this may affect website functionality.
11. Photography and recordings
WMRR may photograph or record conferences, training and events. Images or recordings may be used in WMRR publications, newsletters, annual reports, websites, social media and promotional material.
Where reasonably practicable, you may tell WMRR if you do not wish to appear in published material.
12. Security
WMRR takes reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. Measures may include secure cloud systems, access controls, password protection, multi-factor authentication, encryption where appropriate, secure payment gateways, cybersecurity monitoring and software updates.
No information system can be guaranteed to be completely secure.
13. Retention
WMRR keeps personal information only for as long as reasonably necessary for membership administration, service delivery, financial and legal record-keeping, regulatory obligations, dispute resolution and legitimate organisational purposes.
When information is no longer required, WMRR takes reasonable steps to securely destroy or de-identify it, subject to legal retention requirements.
14. Access and correction
You may request access to personal information WMRR holds about you or ask us to correct information that is inaccurate, incomplete, out of date, irrelevant or misleading.
Requests should be made in writing to info@wmrr.asn.au.
WMRR will respond within a reasonable period and may need to verify your identity before processing a request.
15. Data breaches
WMRR will assess and respond to suspected data breaches in accordance with the Privacy Act and the Notifiable Data Breaches scheme.
Where a breach is likely to result in serious harm and notification is required, WMRR will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) and provide relevant recommendations.
16. Third-party websites
WMRR’s website may link to external websites. WMRR is not responsible for the privacy practices of those websites. You should review their privacy policies before providing personal information.
17. Privacy complaints
If you believe WMRR has not handled your personal information appropriately, please contact the Privacy Officer at info@wmrr.asn.au. Include your contact details, an explanation of the issue and any supporting information.
WMRR will investigate and respond within a reasonable period. If you are not satisfied with our response, you may contact the OAIC at www.oaic.gov.au.
18. Changes to this policy
WMRR may update this policy from time to time to reflect changes to our practices or legal obligations. The current version will be published on the WMRR website.
